Health & Safety

This section includes information relevant to Health and Safety and covers the rules and regulations that must be adhered to during build-up, the live show and breakdown.

Documents you need to upload / safety items you must bring to the show - 

  • Risk Assessment - if you require a template for a risk assessment, please email exhibitors@thegamefair.org 
  • Fire Risk Assessment 
  • Employers Liability Insurance Certificate - minimum £5Million (only for entities with 5 or more employees)
  • Public Liability Insurance Certificate – Minimum - £5Million  
  • Fire Extinguisher, type identified within your Fire Risk Assessment. For advice on which fire Extinguisher is require for your specific needs, please refer to fire safety section below.
  • Company/Organisation Health & Safety Policy (only for entities with 5 or more employees)

The local authority senior health and safety officer in partnership with Warwickshires district safety officer, will be visiting Exhibitors during the build-up and live show, to ensure the highest standards of health and safety are maintained. Please contact our H&S officer for advice and guidance exhibitors@thegamefair.org

Exhibitors must submit an adequate Risk Assessment, to gain access to site

All exhibitors must complete our on-line Health and Safety process submitting your insurance documents and risk assessment through our on-line portal. If the H&S process is incomplete, you will not be allowed access on to site.

We require a copy of your employers and public liability of a minimum of £5 million alongside a copy of your risk assessment. We only accept entries via the link below and not paper copies.

Working at Height

If you are working from height over, please ensure this is included in your risk assessment and method statement. DO ensure that the equipment that you're using for the job is strong, stable, and suitable enough to get the job done.

This includes working with ladders.

When Working from Height also make sure you comply with the Work at Height Regulations 2005 (WAHR).

PPE

Everyone working on site must wear appropriate Personal Protective Equipment depending on the nature of tasks being undertaken, as well as a Hi-Vis vest/jacket during build-up and breakdown, otherwise you will not be allowed access on to site. 

Fire Safety

Fire Safety - Service Alleys behind stands must be kept clear AT ALL TIMES to allow access for emergency vehicles. 

Event Staff

Security Staff, Site Staff and the Event organisers will be on site to assist Exhibitors where possible. Please co-operate with them as always. If you have any queries on site, please go to the Information Office. 

Dogs

Please note dogs are allowed on site but must be kept on a lead at all times. 

Breakdown

Breakdown can ONLY start on Sunday once the public have left the show ground and the Health and Safety officer deems it safe. Exhibitors must wait for the signal that breakdown can commence.

Please note you must be cleared from site no later than mid-day on Wednesday 9th July 2025 otherwise you may incur a fine. 

If a stand is left untidy, a clear up charge of £250 + VAT will be charged by Stable Events Ltd.
